What to Expect on the Day: Setup, Service and Pack-Down

If you've never booked a mobile bar before, it's completely normal to wonder how the whole day actually works. Here's a straightforward run-through, from arrival to the last drop poured.

We aim to arrive early wherever possible, ideally with enough time to plug in, get set up, and let the trailer properly cool down before service starts. That cooling process can take an hour or so depending on the weather that day, which is why an early arrival matters, cold stock and a cold system means your guests aren't waiting around for a decent pour the moment the bar opens.

Setup and pack-down themselves are quick, usually somewhere between 30 and 60 minutes each, depending on what else is involved (extra furniture, signage, or a more complex beverage list). We'll always talk through timing specifics with you ahead of the event so there are no surprises, particularly around venue access times and any restrictions your venue might have.

During service, if you've booked one of our event packages, our team runs the bar for you, pouring drinks, managing stock, and keeping things moving so you and your guests can just enjoy the day. If you've gone dry hire with your own staff, we'll make sure everything's set up and ready for your team to take over from there.

Once the event wraps up, we pack down efficiently and clear out, generally without needing much from you beyond letting us know when it's time. If you're running a longer event, like an all-day festival or a big wedding reception, we'll factor top-up deliveries and any keg changeovers into the plan in advance, so it's not something you need to think about on the day. Sometimes these longer running events require bump out the following day. This is also fine, we just need to know those details as you receive them yourself.

The short version: we handle the logistics so the only thing you need to plan for is what time you'd like the first drink poured. If you've got a tight venue schedule, a noise curfew, or specific access windows, just flag it when you enquire and we'll build the day around it.
